Manual Booking

This feature would be utilised when a reservation was made directly with your establishment e.g. a telephone or email reservation.  Once a manual booking has been created, you will be able to send the guest a hyperlink from which they will be able to process a credit card payment on their reservation.

From within your Booksure Mobile Dashboard, select the Manual Booking option from the Menu located in the top left corner of your screen.

On the first screen, enter the Arrival and Departure dates by picking them from the date pickers provided.  Enter the number of adults, children and toddlers, and the ages of the children and toddlers, in the required fields.  Tap Next.

On the next screen, pick the required room from the list provided and enter the room quantity.

Enquiry Establishments:  Under the Accommodation section, select which Room/s you will be quoting on, and enter the Price incl VAT (should your establishment be VAT registered).  Please note that should the guests be staying for more than one night, you will need to enter the amount for the total number of nights and not the daily amount.

Real-time Establishments:  An Available field will display here, and the number of available rooms per room type will be bold.  If there is availability, please tap on the Rates button that appears alongside the requested room.  Please select the number of rooms requested from the Select Quantity field.  Please select the applicable Rate plan, number of adults, children and toddlers.   Please tap on the Apply Rate button.  The rate will automatically be calculated from your real-time rates.

Under the Guest Details section, select the applicable guest option.  If a New Customer, select this option, and enter all the guest’s contact information. 

In the event that the guest has previously stayed at your establishment, select the Existing Customer option.  Type in the guest’s name, and tap the magnifying glass icon on the keypad.  Choose the correct guest from the drop-down list.  The guest’s contact details will automatically be pulled in. 

Click Next if all the details are correct or once you have edited the details.

Under the Services section, you may include any Services that have previously been set up under Settings – Services. Enter the Quantity and the total Price incl.  Services may be included on the reservation at no charge, by entering a price of 0.

In the event that you would like to add a service that has not yet been set up, you may use the Additional line items to do so.  Please enter the description and price.  Tap on the Trash can icon to delete the line, or tap the + Item button, to add additional line items to include.  

Should you wish to display a Discount, please remember to include a - before the number to ensure that the amount is deducted correctly.  Tap Next when done.

The total will automatically be calculated.  The Deposit amount will default to the percentage that was inserted under Settings - Policies.

Cabin members will not be able to alter the deposit percentage to less than 50 % of the total booking.  However, you may adjust it to a higher percentage by entering the new amount in the Deposit amount box.

Studio and Premium members may adjust the Deposit amount by entering the new amount in the Deposit amount box.

Please verify that the cancellation terms are correct and applicable by tapping on the  pencil icon next to the Cancellation terms  The default terms will apply, so if another set of cancellation terms is required, you may select these by tapping on the title in the Cancellation Terms popup and selecting the applicable option from the drop-down list.

Once you have verified that all of the information and pricing is correct, tap on the Save Reservation button.  Please note that the Manual booking feature will not generate a SMS or email notification to your guest.

Once the manual booking has been created, you are able to send your guest an email containing a hyperlink from where he/she can pay online by means of a credit card.  View the reservation by selecting Reservations from the menu in the top left corner of the screen.  Select the manual booking you just inserted and then tap on the reservation to open it.

From within the reservation, tap on the Payment Hyperlink button, located at the top of the reservation.

This will open a pop up window, which contains the hyperlink that will enable your guest to process a credit card payment on their reservation.  Please copy this hyperlink and email it to your guest with instructions for them to copy and paste it into their internet browser to enable them to make a payment.
